The short answer
The most reliable hotel review workflow starts with a real checkout, not a manually maintained spreadsheet. Your property management system confirms that the stay ended, RecensioAI creates or updates the guest contact, waits for the delay you choose and sends the request through your configured email or SMS channel.
Apaleo is available as a direct connection today. Mews is in early access while RecensioAI awaits its partner Client Token. Hotels using another PMS can start through Zapier, Make or a secured per-location webhook.
What happens after checkout
The integration does not create a separate marketing system. Checkout enters the same protected request flow used across RecensioAI, so consent, opt-outs, quiet hours, duplicate protection and sending limits still apply.

Apaleo: direct connection available now
A hotel creates its own Apaleo client credentials and adds them under Settings β Integrations. RecensioAI verifies the property and registers the checkout webhook. Once configured, eligible checkouts can enter the standard review-request workflow automatically.
The integration is included in the RecensioAI plan. Apaleo's own account terms and access rules still apply.
Mews: early access with a clear route forward
Mews requires two parts: the hotel's Access Token and a vendor Client Token issued to RecensioAI. Our partner application is in progress, so we do not describe the connection as live yet. Hotels can preregister their Access Token securely and request priority onboarding. Synchronisation activates once partner access is available.
A hotel that wants to begin sooner can use Zapier or Make to send a completed-stay event into RecensioAI without waiting for the native activation.
Other PMS platforms: use the event you already trust
Cloudbeds, RoomRaccoon, OPERA and other hotel systems have different partner and API rules. We do not label them direct integrations until that connection is verified. If your PMS can send a webhook or connect to Zapier or Make, the essential workflow can still be built: send only a completed checkout with the fields needed for the request.
This approach keeps the automation useful without overstating a vendor relationship or asking your front desk to export files every day.
PMS connections and OTA review sources are not the same
Apaleo and Mews are workflow connections: their purpose is to identify a completed stay and start the request process. Booking.com and Tripadvisor are review sources. Their availability is read-only and depends on what each provider makes publicly accessible.
RecensioAI does not claim that those sources provide guest booking data, trigger checkout messages or allow replies to be published automatically. Clear boundaries protect hotel teams from choosing software based on a capability the provider does not offer.
Build the workflow around guest trust
A premium guest journey should also be a restrained one. Use only the contact details you are allowed to use, explain the purpose clearly and give guests a working opt-out. Invite all eligible guests fairly instead of selecting only those expected to leave five stars.
For groups, configure the delay, message language and eligibility rules per property. Keep demo locations in no-send mode until the complete path has been checked with a real test stay.
A practical hotel setup checklist
Start with one property and one controlled test checkout. Confirm that the guest reaches Contacts, the request is scheduled at the expected local time, the known-recipient link skips repeat email capture and the review destination is correct. Then repeat the test for opt-out and duplicate protection before enabling additional properties.
